Voice templates — how long VetAgent keeps them
If you agree, Vera, the assistant in VetAgent, keeps a voice template of you so she can name the lines you speak in meeting notes recorded in VetAgent, tell who is speaking when you dictate a message to her in the chat, and sign you in to VetAgent on your hospital's enrolled computers. Agreeing is optional. This page is the schedule on which that template is deleted.
What is kept
A voice template — a set of numbers made from how you sound — and, for signing in, your initials and a six-digit PIN that is stored only in a scrambled form nobody can read back. No recording of your voice is kept: the passage you read, the messages you dictate and what you say to the exam-room computer are turned into numbers as they arrive, and the sound is not stored. The exam-room camera only notices that someone is in front of it, so the screen can lock when you step away; it does not recognise your face and no picture is kept. A face template is not made or kept under this notice.
How long it is kept
Until you withdraw, until your VetAgent account is closed, or until 12 months pass in which it neither named you nor learned from you — whichever comes first. Then it is deleted, with every sample behind it, and all that is kept is a dated note that a voice template existed and was removed. Your PIN and initials are removed the day your account is closed; the record of who signed in, when and where is kept, because it is the record of the work.
